Properly logging each service attempt in the ServeManager app is essential for maintaining accountability and providing verifiable evidence of your work. This guide will help you navigate the app to ensure that every attempt is recorded accurately and securely.

Step-by-Step Instructions to Log Service Attempts

Job Verification

  • Locate and Verify the Job: Begin by finding the correct job using the job number, recipient name, or client details. Confirm you are viewing the right job to avoid any mix-ups.

Capture Essential Evidence Upon Arrival

  • Capture GPS and Photograph: As soon as you arrive at the service location, update the GPS to reflect your exact location and take a photograph of the service address. These steps are critical for verifying the attempt.

  • Photo Guidelines: Ensure your photos include identifiable features of the address such as house numbers, vehicles on the premises, visible packages with the subject's name, and an overall view of the property. Photos may also include details like the posted documents or notable property conditions (e.g., broken windows, overgrown plants) that support your service observations.

Important: Do not fully shutdown the ServeManager app while logging attempts. The app must be running in the background to ensure that the photo is properly uploaded.

  • Avoid Including in Photos: Avoid capturing any individuals, the interior of your car, or views obstructed by trees or other obstacles.

Safety Tip: If you are concerned about your safety while at the location, capture the GPS and photograph, then save the attempt as a draft. You can finalize the details later from a safe location.

Select Service Type

  • Determine Success of Service: Choose whether the attempt was successful or unsuccessful. For specific types such as substitute service, include a description of the person who was served as part of the documentation.

Describe the Attempt

  • Comprehensive Descriptions: When logging an attempt, especially an unsuccessful one due to a bad address, it’s crucial to include detailed information:

    • Identify Contacts: Document any interactions with individuals at the address. Who was spoken to? What relationship, if any, do they have to the target?

    • Conversation Details: What did these individuals say regarding the target’s presence or connection to the address?

    • Evidence of a Bad Address: Describe clear indicators that the address was incorrect. For example, "The current resident claimed the individual moved out six months ago," or "The neighbor stated that the person has never lived at this address."

    • Validation Attempts: Explain how you attempted to validate the address, such as checking neighboring properties or local databases when possible.

Sharing the Attempt:

  • Ensure Visibility to One Legal: Confirm that the attempt is shared with One Legal. To streamline this process and minimize errors, it's highly recommended to enable automatic sharing in your account settings.

Save or Cancel the Attempt:

  • Finalizing the Attempt: Once all details are confirmed, push the "Save Attempt" button to save the attempt. If any information is missing, the app will prompt you to complete these details.

  • Cancel Options: If you need to stop, you can save the attempt as a draft, discard it, or continue editing.
